What is Adsolut

Adsolut is an accounting package and an online portal for Belgian accountants, entrepreneurs, and SMEs.


Sales invoices from EenvoudigFactureren can be correctly read as UBL files in Adsolut and added to the accounting system.

There are several options for transferring UBL files from EenvoudigFactureren to Adsolut:

  • CodaBox
  • ClearFacts
  • Manual export (UBL)


CodaBox

With CodaBox, you can automatically import bank payments and send invoices directly to your accountant.

Don’t have a CodaBox account yet? Request one through your accountant or directly on the CodaBox website.


CodaBox is an external service that allows you to send sales invoices directly to your accountant and import bank transactions, so invoices can be automatically paid.


Once a connection with CodaBox is set up, you can automatically or manually send invoices to Adsolut at your chosen time.

ClearFacts

ClearFacts is an online platform that collects all your sales and purchase invoices so they can be digitally sent to and processed by your accountant.

Manual export (UBL)

Export invoices for a specific period as UBL files. You can download these files as a ZIP file. To do this, go to the invoice overview and select "More actions" > "Export invoices."



Once the invoices have been exported, download the ZIP file and forward it to your accountant. Your accountant can then unzip the file and place the UBL files into the import folder of Adsolut.

Here’s how to import data from an external system into Adsolut:


Step 1: Set Up Local Folders


1. Create Local Folders:

   - On a local drive (e.g., C:), create the following directories:

     - `c:\adsolutclient\UBLDocs\dossiercode\aankopen`

     - `c:\adsolutclient\UBLDocs\dossiercode\verkopen`


   - Place your exported data in the appropriate folder (e.g., purchases in the “aankopen” folder and sales in the “verkopen” folder).


Step 2: Configure Adsolut Settings


1. Access System Configuration:

   - In Adsolut, go to the dossier via System Administration → Logistics Management Settings → Settings.


2. Set Up EFFFPATH:

   - Select **EFFFPATH** by double-clicking it. If it doesn’t exist, create a new one.

   - For local use, set the path to `c:\adsolutclient\UBLDocs\dossiercode`.

   - For cloud use, set the path to `\\client\c$\`.


Note: If you have multiple dossiers, include the dossier code in the path.


Step 3: Import UBL Files


1. **Import UBL Files:

   - You have two options:

     - Via Import Function:

       - Go to Import → Accounting Import → Import UBL Invoices.

       - Select the journal and import location, then start the import.

     - Via Bookkeeping Function:

       - Go to Bookkeeping → Purchases or **Sales → New → UBL Queue.


2. Processing Imported Data:

   - For Individuals: Adsolut will match the individual based on name and address. If found, the individual is used; if not, a new one is created.

   - For Companies: Adsolut will match based on the company number. If not found, a new company is created.

   - Booking Assignment: The booking will be automatically assigned to the first found relationship or supplier.
